Getting Started

Granting Permissions

To begin using Wow!CX Timesheets, the first essential step is to grant user permissions to manage clients. Even if you are an admin on your WordPress site, you need to have this permission added. Navigate to the “Manage Client Managers” menu and add yourself or other users who will manage clients. Simply check the green checkbox in the “Add Permission” column to grant access.

Setting Up Approval Teams

Setting up approval teams is crucial for managing timesheets effectively. These teams consist of supervisors who can approve the timesheets of their team members. Start by identifying supervisors and their respective team members. In the “Manage Approvers” menu, mark users as approvers, and then assign team members to them in the “Setup Approval Teams” menu.

Additional Functionalities

If you plan to use Invoicing and/or Payroll workflows, ensure that users have access to these menus via the “Manage Invoices” and “Manage Payroll” menus, respectively. Admins must grant permissions to access these functions. Explore the “Global Settings” menu to customize features according to your organization’s needs.

Global Settings Details

  • Relative URL to Timesheet Entry Page: If you wish to publish timesheets on non-admin pages, use the shortcode ‘entry_timesheet’ and ‘search_timesheet’ in public-facing pages.
  • Week Starts: Control the starting day of the week and set error notifications for submitting timesheets.
  • Update Allowed Hours for Retainers Monthly: Automatically update allowed hours on the 1st of each month for clients with retainers.
  • Payroll Triggers: Kick timesheets into the payroll queue based on specified values (e.g., Mileage, Per Diem).

Configuring My Settings

The “My Settings” page offers personalized configurations based on user roles and permissions. Users will have different options depending on their roles within the system. For instance, approvers can set up backup approvers or transfer their team to another approver. Similarly, the “My Dashboard” page provides additional search options for approvers.
